  • Send newsletters and relevant marketing emails where permitted.

  • Maintain our website, improve our services and meet legal obligations.

4. Our lawful bases for processing

We process personal information under the lawful bases provided by UK GDPR, depending on the purpose:

  • Contract: to provide classes, manage memberships and fulfil bookings.

  • Legitimate interests: to operate our dance school, manage student administration and support safety, where our interests do not override individuals' rights.

  • Legal obligation: to comply with applicable legal, accounting and regulatory requirements.

  • Consent: where we rely on permission for specific activities, including relevant photography, video or marketing uses.

Medical information is special category personal data under UK GDPR. In addition to an appropriate Article 6 lawful basis, we must have a separate Article 9 condition to process this information lawfully.

We only process medical information where the applicable legal requirements and safeguards are met.

5. Medical information and safeguarding

We collect relevant medical information and emergency contact details to help protect students' safety and wellbeing.

This information may include medical conditions, injuries, allergies, medication, disabilities and additional support needs.

Parents or guardians are asked to provide relevant information during enrolment so that we can consider whether a student can participate safely and what support may be required.

Medical information may be submitted through Wix Forms, Jotform, Google Forms and Membermeister.

Access to these records is restricted to management staff, administrative staff and teachers who require the information for their role. We aim to ensure that sensitive information is handled confidentially and accessed only where necessary.

6. Photographs and videos

Parents or guardians are asked to approve or decline photography and video consent during enrolment.

We respect the recorded choice when using identifiable images or recordings for promotional purposes, including our website, social media and marketing materials, where consent is the appropriate legal basis.

If you wish to change or withdraw consent, please contact admin@aspiredanceandstage.co.uk. Withdrawal does not affect processing already carried out lawfully. We will take appropriate steps in response to your request, while explaining any practical limitations where material has already been published or shared.

Photographs or recordings may also be used for other appropriate operational purposes where a separate lawful basis applies.

7. Marketing communications

We may send newsletters and relevant Aspire updates by email in accordance with applicable data protection and electronic marketing laws.

You can unsubscribe at any time using the link in our emails or by contacting admin@aspiredanceandstage.co.uk.

Unsubscribing from marketing will not prevent us from sending essential communications relating to memberships, bookings, payments, classes and events.

8. Who we share information with

We do not sell personal information.

We may share information with trusted service providers where necessary to operate our business. These may include:

We use digital systems and appropriate organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure.

Our service providers may store or process information outside the UK. Where international transfers occur, we will ensure that applicable UK data protection requirements and safeguards are met.

Access to personal information is restricted according to staff responsibilities, particularly for sensitive medical information.

No electronic storage or transmission method can be guaranteed to be completely secure.

10. How long we keep information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet applicable legal obligations.

When a student leaves Aspire Dance & Stage, their Membermeister profile is intended to be archived five years after they leave. Archived profiles help us maintain relevant membership history and make re-enrolment easier if a former student returns.

Archived profiles may contain medical records and emergency contact information previously provided to us. These records remain subject to access restrictions and review.

We will review archived information to determine whether it remains necessary to retain. Information that is no longer required will be deleted or anonymised, subject to applicable legal obligations.

Different categories of information may require different retention periods. Financial records may need to be retained to meet legal requirements, while medical information, emergency contacts, photographs, videos and other student records will be retained only for as long as reasonably necessary for their relevant purposes.
