Terms & Conditions

Welcome to Aspire Dance & Stage!

We want every student to enjoy a safe, supportive and positive experience. These Terms & Conditions explain the expectations and arrangements for attending our classes, private lessons, events and other activities.

By enrolling a student at Aspire Dance & Stage, parents and guardians agree to follow these terms on behalf of themselves and their child, subject to applicable consumer and other legal rights.

1. Uniform and Class Essentials

To help ensure a safe and positive learning environment, the following rules apply:

  • Students must wear the correct uniform for their classes.

  • All uniform and personal belongings should be clearly named. Aspire Dance & Stage cannot guarantee the recovery of lost items.

  • Jewellery must be removed before class for health and safety reasons, except for small ear studs where permitted and safe.

  • Hair must be tied back neatly for all classes. For ballet, tap, gymnastics and modern classes, hair must be secured in a bun where appropriate.

  • Students must bring a drink to every class.

  • Food is not permitted inside the dance studios. Aspire operates as a nut-free school, and we ask families not to bring nuts or nut-containing products onto the premises.

  • Parents and guardians must not enter studios or staff-only access corridors unless authorised by a member of staff.

  • Students must arrive on time and wait until a teacher invites them into the studio.

  • Mobile phones must not be used in studios. Students who bring a phone to contact their parent or guardian must leave it in reception or a designated locker.

  • Parents and guardians must notify Aspire promptly of any changes to a student's health, medical needs or ability to participate safely.

Aspire cannot accept responsibility for lost, stolen or damaged personal belongings except where liability cannot lawfully be excluded.

2. Student Safety, Supervision and Behaviour

We are committed to providing an environment where every student feels safe, valued, encouraged and respected.

All students are expected to:

  • Treat teachers, staff and fellow students with respect.

  • Encourage others and behave appropriately while waiting for classes.

  • Follow staff instructions and comply with health and safety requirements.

  • Respect other classes taking place on the premises.

  • Refrain from bullying, harassment, discrimination, intimidation or any other behaviour that makes another person feel unsafe.

Aspire operates a zero-tolerance approach to bullying and harassment, whether on our premises or when representing Aspire at events and activities.

Parents and guardians must ensure that students arrive and are collected at the agreed times. Aspire staff supervise students during their scheduled class or activity only, unless alternative arrangements have been expressly agreed. Parents and guardians remain responsible for their children before and after these times.

If behaviour raises safety or welfare concerns, Aspire may take appropriate action, including speaking with the student and parent or guardian, imposing reasonable conditions on participation, suspending attendance or cancelling a student's place where justified. We will consider the circumstances and any relevant safeguarding or additional needs.

3. Attendance and Missed Classes

Regular attendance helps students make progress and supports the smooth running of classes.

  • If a student is unable to attend, please notify us on 07885 888543.

  • Missed classes are not normally refundable or transferable.

  • If a student misses three consecutive classes without notifying Aspire, we may contact the parent or guardian to establish the circumstances. Where appropriate, the place may be cancelled and offered to a student on the waiting list.

  • Aspire should be notified promptly of any circumstances affecting a student's attendance or ability to participate.

Any cancellation or refund will be handled in accordance with these terms and applicable consumer law.

4. Fees, Payments and Invoices

Monthly class fees

Class fees are calculated based on the number of teaching weeks in the year, usually 40 weeks, and divided into 12 equal monthly payments. Monthly payments therefore continue during school holidays and reflect the annual cost of the student's place.

Fees are normally collected by Direct Debit through GoCardless on or around the first of each month, unless an alternative date has been agreed.

The initial payment may be a double payment, covering the first month's fees and the final four weeks of fees associated with the notice period. The payment arrangement and any amount due will be explained at enrolment.

Current standard class fees

The following fees were provided in Aspire's existing terms and are subject to confirmation before publication:

  • 45-minute class: £30 per month

  • 1-hour class: £35 per month

  • 1.5-hour class: £40 per month

  •

Fees may be reviewed from time to time. We will notify families of any changes in advance.

Annual membership fee

The annual membership fee is £30 and includes a branded T-shirt and an annual student report from the student's teacher, subject to the applicable membership arrangements.

For students joining partway through the year, the following fee structure applies:

  • 1 January–30 June: £30 annual membership fee.

  • 1 July–31 October: £15 membership fee; the branded T-shirt must be purchased separately.

  • 1 November–31 December: no joining fee; the full £30 annual membership fee is due in February as part of the standard membership renewal cycle. The branded T-shirt must be purchased separately.

Aspire will communicate any changes to the membership fee or included benefits.

Failed payments and overdue balances

If a Direct Debit fails, we may arrange for payment to be retried within seven working days and contact the parent or guardian to resolve the issue.

If a payment fails repeatedly or an invoice remains unpaid, Aspire may take proportionate steps, including:

  • Sending payment reminders by email, telephone or letter.

  • Applying a reasonable late-payment charge where this has been clearly communicated, is permitted by law and reflects the relevant costs.

  • Restricting access to additional paid activities or purchases while an account remains overdue.

  • Suspending or cancelling a student's place where justified and after appropriate communication.

  • Seeking recovery of outstanding sums through lawful debt-recovery procedures, where appropriate.

We will consider individual circumstances and any payment arrangements agreed with the family. Any outstanding amount must be properly due under the agreed terms and applicable law.

5. Cancelling a Membership or Giving Notice

If a student no longer wishes to attend Aspire, the parent or guardian must notify us by email or another method specified by Aspire.

Notice should be received no later than the 15th of the month to allow time for payment arrangements to be updated.

Under Aspire's standard notice arrangement, the student may continue attending for the remainder of the current month and the following full month. The notice period and final payment will be confirmed when notice is received.

Because annual class fees are divided into monthly payments, a balance may remain due at the end of the notice period. Any final balance will be calculated by reference to the agreed fee arrangement and payments already made.

Where a place is cancelled by Aspire or the family, properly due outstanding fees remain payable. Refunds are not normally provided for classes already delivered, missed classes or payments that are properly due under the agreed terms. This does not affect any refund, cancellation or other rights that apply by law.

If Aspire needs to cancel a class or cannot provide an agreed service, we will communicate the arrangements and any applicable credit or refund.

6. Private Lessons

Private lessons may be available with selected Aspire teachers and must be booked through our website or approved booking system.

  • Private lessons are subject to tutor availability and confirmation of the booking.

  • Students must have their class fees up to date, or an agreed payment arrangement in place, to qualify for private lessons.

  • At least 24 hours' notice must be given to request a rescheduling.

  • If a student fails to attend a booked private lesson, the fee will not normally be refunded.

  • Any cancellation by Aspire will be communicated to the parent or guardian, with an appropriate alternative, credit or refund where applicable.

Any additional booking-specific terms will be provided at the time of booking.

7. Shows, Competitions, Examinations and Events

Aspire offers additional opportunities such as performances, examinations, competitions, workshops, festivals and other events.

Participation may involve additional costs and commitments.

  • Student accounts should be up to date, or an agreed payment arrangement must be in place, to participate in additional activities.

  • Students are expected to attend required rehearsals and meet the preparation requirements for the event.

  • Additional rehearsals may take place on days or at times different from regular classes and may incur additional fees.

  • Costumes, examination entries, competition entries, tickets, travel and other event-related items may incur additional costs. These will be communicated where applicable.

  • Failure to attend required rehearsals, meet participation requirements or pay properly due fees may affect eligibility to participate.

  • Students may be invited to take part in fundraising activities from time to time.

  • Where participation fees are collected by Direct Debit, parents or guardians will be given at least four weeks' notice of the amount and payment date, where this is Aspire's agreed arrangement.

Where students are expected to participate in a show or event as part of their programme, parents or guardians should raise any concerns or inability to participate with Aspire in advance. Participation is subject to the arrangements communicated for each event.

Event-specific terms, including cancellation arrangements and refund conditions, may apply and will be communicated when bookings are made.

8. Photography and Video Consent

Aspire may take photographs or videos during classes, performances, competitions, workshops and events.

During enrolment, parents or guardians are asked to approve or decline permission for their child's images or recordings to be used for promotional purposes, including on the Aspire website, social media and marketing materials.

We will respect the recorded consent choice and will not treat a failure to respond as consent.

Parents or guardians may change or withdraw their consent by contacting admin@aspiredanceandstage.co.uk. Withdrawal does not affect processing already carried out lawfully. We will take appropriate steps in response to a request, while explaining any practical limitations where content has already been published or shared.

Photography and recording arrangements at individual events will be managed in accordance with Aspire's safeguarding and privacy procedures.

9. Medical Information and Additional Needs

Parents and guardians must provide accurate, relevant information about a student's medical conditions, allergies, injuries, medication and additional needs that may affect safe participation. Aspire must be informed promptly of any changes to this information.

We use relevant information to help manage risks, support students appropriately and respond to emergencies. Access to medical information is restricted to authorised staff who need it for their role.

Further details about how personal information is collected, used, stored and retained are set out in our Privacy Policy.

10. Premises and Personal Belongings

Students must follow all instructions relating to safe use of the premises, including studio access, waiting areas, changing arrangements and collection procedures.

Valuables should be left at home wherever possible. Aspire cannot guarantee the recovery of lost property and accepts no liability for lost, stolen or damaged belongings except where liability cannot lawfully be excluded. Any lost property found on the premises should be reported to reception.

11. Changes to Classes and Services

Aspire may occasionally need to change teachers, timetables, studio arrangements or class delivery due to illness, operational requirements, safety concerns or circumstances outside our control.

Where a significant change affects a student's booked class or service, we will communicate the change and explain any appropriate alternative arrangements.

We will handle cancellations or changes in accordance with the agreed service arrangements and applicable law.

12. Safeguarding and Serious Concerns

Aspire takes student welfare and safeguarding seriously. Students and parents or guardians should raise any concerns with a member of the management team.

Where necessary to protect a child or another individual, Aspire may share relevant information with appropriate safeguarding authorities or emergency services in accordance with its legal obligations and safeguarding procedures.

13. Privacy and Personal Information

Aspire Dance & Stage handles personal information in accordance with applicable data protection law.

Our Privacy Policy explains what information we collect, why we use it, how we protect it, how long we retain it and how individuals can exercise their data protection rights.

Our Privacy Policy is available on our website.

14. Changes to These Terms

Aspire may update these Terms & Conditions from time to time to reflect changes to our services, procedures, fees or legal obligations.

Where a change materially affects an existing membership or booking, we will provide appropriate notice. Changes will not remove rights that customers have under applicable law.

The latest version will be published on our website.
